Rashmi Electricals is looking for an organized and highly efficient Executive Assistant (EA) to support the HR and AQ (Assurance Quality) departments. The EA will provide administrative assistance, manage HR-related tasks, and help maintain AQ standards within the organization. The role requires strong communication skills, attention to detail, and a proactive approach to supporting both departments. Key Responsibilities:
HR Support:
- Employee Onboarding & Documentation:
- Assist in the onboarding process for new employees, ensuring all necessary documentation is completed.
- Maintain employee records, ensuring compliance with organizational policies and legal requirements.
- HR Administration:
- Help in scheduling interviews, managing candidate databases, and coordinating recruitment activities.
- Manage employee leave records, attendance tracking, and payroll-related documentation.
- Handle employee queries and concerns, providing assistance with HR policies and procedures.
- Training & Development Support:
- Coordinate training programs and employee development initiatives.
- Maintain records of training sessions, ensuring employees’ skills are up-to-date and compliant with industry standards.
- Internal Communication & Reporting:
- Assist with preparing internal communication regarding HR updates, employee engagement activities, and company policies.
- Support HR management in preparing reports for senior leadership.
AQ (Assurance Quality) Support:
- Document Control & Record Keeping:
- Maintain accurate AQ-related documentation, ensuring all records are organized and accessible.
- Assist in managing quality standards, compliance reports, and audits related to AQ.
- Process Documentation:
- Help in documenting AQ procedures, standards, and guidelines.
- Coordinate with various departments to ensure that AQ processes are being followed as per industry standards.
- Data Collection & Analysis:
- Collect data for AQ performance metrics and assist in analyzing trends to ensure quality objectives are being met.
- Assist AQ teams in preparing reports and presentations for quality assessments.
- Compliance & Audits:
- Support the AQ team during internal audits and inspections.
- Ensure AQ-related policies and regulations are updated and adhered to.
Qualifications & Skills:
- Experience:
- Minimum 2-3 years of experience in administrative support, ideally in HR or Quality Assurance.
- Education:
- Bachelor’s degree in Business Administration, HR, or a related field.
- Skills Required:
- Proficiency in MS Office (Word, Excel, PowerPoint) and Office 365 applications.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
